CHCA + Veracross: Learn More
Starting in the 2022-2023 school year, CHCA will change our primary Student Information System (SIS) to a new school software platform called Veracross. This webpage is a one-stop shop to help families understand this transition.
Veracross is a premier software solution for independent schools that provides access to do things like sign your enrollment contract, pay tuition, access report cards, link to student assignments in Canvas, and much more. While the myCHCA webpages and Apps will remain robust resources, we are working toward developing Veracross portals as the dynamic hub for in-depth knowledge and context about your family’s relationship to CHCA.

Update Household Profile
This can be accessed by logging into your VC Parent Portal and selecting the ‘Update Household Profile’ button in Veracross Quick Links. Our data migration began last September, so we ask that you thoroughly review information we have on record for your family.
There are three sections of this form that require completion:
In addition to contact information, you will be able to specify your child’s Emergency and Pickup Authorization contacts and set the Directory Preferences for your family.
If your information changes throughout the year, please return to this form to make updates.
Complete Medical Forms using Magnus Health
The Veracross and Magnus Health integration is now complete. Most forms are electronic and can be completed online in Magnus Health. For forms that require a doctor's signature, families can download the form and then reupload the completed and signed document directly to your Magnus Health account. Support for Magnus Health is available through
service@magnushealthportal.com or at (919) 502-7689.

2022-2023 invoices are now available in your Veracross Parent portal.

To access your Invoice - Create Your Veracross Account (Please note that Veracross requires that your browser’s setting enables cookies.)
Click on the "VC Incoming Parent Portal" button above and you will be prompted to establish a password. For the security of your account and parental access, do not share your login information with your student or others. Once we have fully transitioned our systems to the 2022-2023 academic year, you will use the VC Parent Portal button.
The link to the Student Billing Homepage is in the lower right-hand corner of your portal page. If you have any questions related to your invoice, please contact us at Student.Billing@chca-oh.org. Note that if you have recently enrolled or re-enrolled, your deposit may not yet have posted to your account. These will be processed before your due date of 06/15/22 and your invoice will be automatically updated.
Over the next several months, we will be building out the full suite of Veracross functionality, so the information you will be able to access in your Parent Portal will expand as we approach the beginning of the 2022-2023 school year. As this is a work in progress, many elements are being fine-tuned.

The re-enrollment process is the first step in our transition to this new Veracross platform.
Step One - Create Your Veracross Account

Your password can be changed by clicking on the "Change Password" link after logging in. For the security of your account and parental access, do not share your login information with your student or others.

Step Two - Complete the Online Re-enrollment Process in Your Veracross Account
Once logged in to your account, click on the yellow “ACTION NEEDED” box to access your online re-enrollment contract and follow the steps to sign and submit the contract and re-enrollment deposit. It's important to note that both contract signature(s) and remitted deposit are required for your enrollment to be submitted.
Please note that over the next several months, we will be building out the full suite of Veracross functionality, so the information you will be able to access in your Parent Portal will expand as we approach the beginning of the 2022-2023 school year. 01/27/22 email: It's Time to Re-Enroll for '22-'23!
Dear CHCA families,
It is time to re-enroll for the 2022-2023 school year. New this year, we will be utilizing Veracross, our Student Information System portal and platform for the online re-enrollment process. For more information about our partnership with Veracross, please refer to our CHCA + Veracross: Learn More webpage.
You will receive a separate email later today with instructions on creating your Veracross account, where you will complete the re-enrollment process. Below you will find some important reminders about re-enrollment.
If you do not receive the Veracross welcome email with these instructions, please contact us at admissions@chca-oh.org so that we can ensure your Veracross account is ready for you to set up.
Who should complete the online re-enrollment process?
The Veracross online enrollment process allows for one or more parents/guardians to sign and submit the enrollment contract.
Most CHCA families prefer one signature on behalf of the household, so this is the default setting in our online enrollment process. In married households, both parents are responsible for the tuition obligation, parental consent (including all permission forms), and compliance with the contract terms, whether or not both parents sign the enrollment contract.
In some circumstances families may desire two signatures on the contract. The most common scenario for this is when parents reside in different households, but any family may request this option. If both parents intend to sign the contract and share this responsibility, please email admissions@chca-oh.org so we can update your family preference and enable two signatures. If you are unsure if one or two signatures is appropriate for your situation, please contact us and we will be happy to discuss further. The signer(s) of the contract is(are) responsible for the tuition obligation, parental consent (including all permission forms), and compliance with the contract terms.
If you opt for the two-signature process:
- Each parent/guardian will be able to view your student’s re-enrollment status in the online portal to determine if any signatures are still outstanding.
- Only one signer can pay the re-enrollment deposit. Please coordinate this detail as re-enrollment will not be complete until we have received the contract with both signatures as well as the re-enrollment deposit.
- Each parent/guardian is fully responsible for the entire tuition obligation; having an additional signer does not limit this obligation.
What is the re-enrollment deadline?
Re-enrollment is due by February 14th to secure your student’s spot for the 2022-2023 school year and qualify for the discounted re-enrollment deposit. Re-enrollments after that date require a higher re-enrollment deposit (credited towards 2022-2023 tuition) and are accepted on a “space available” basis. ***Wait pools are expected at some grades for next year.
What is the re-enrollment deposit amount*?
- Re-enroll by the February 14th deadline: $150 per student
- After February 14th: $300 per student
*As always, this deposit is credited to your student’s ’22-’23 tuition account.
Is the re-enrollment deposit refundable?
No, the deposit is non-refundable and non-transferable.
What are my payment options for the re-enrollment deposit?
The online re-enrollment process accepts electronic checks (EFT) or credit card payments, and there are no convenience fees for the deposit.
Is there an option for a paper contract?
No, the enrollment process is entirely online. However, you will be able to print a copy of the contract for your records.

CHCA Announces Upgrade to New Student Information System Called Veracross
We are happy to announce that starting in the 2022-2023 school year, CHCA will be changing our primary Student Information System (SIS) to a new platform called Veracross. By making this change, we will enhance our ability to adopt innovative education models, streamline operations, and ultimately give you vastly improved functionality to access all things related to your student’s CHCA experience.
What is an SIS?
A Student Information System (SIS) is a software solution that enables educational institutions like ours the ability to digitize and manage student information more efficiently, as well as offer families more efficient access to key information related to their student’s experience.
In the spring of 2021, CHCA colleagues across all functions formed a search committee to evaluate options for upgrading our current SIS, Donor Management, and Financial Management solutions. Through this process, Veracross became the clear choice to not only meet operational and functional needs but these key requirements for selection as well:
- High caliber implementation resources, training and support
- Flexibility and adaptability
- Look/Feel/Intuitiveness
- Interoperability with CHCA departments and with 3rd party solutions such as CHCA’s website and Canvas
Veracross is a premier software solution for independent schools, and we are proud to bring this state-of-the-art platform to our community. As with any project of this scale, we will be introducing the software in stages. We will be launching to staff in May 2022, and to families in August 2022 for the start of the new academic year. However, you will have your first opportunity to interact with Veracross when you receive your re-enrollment links later this month.
What does this mean for you?
Veracross Portals will give you access to do things like sign your enrollment contract, pay tuition deposits, view and print directories, update your personal contact information and directory publication preferences, access report cards, link to student assignments in Canvas, and much more. The new system will be intuitive and easy to use, and for those interested, we’ll also provide tutorials and Q&A’s online and may be present to answer questions at various events, such as Back To School Night in the fall. While myCHCA will not go away as a robust resource for us, we are working toward developing Veracross Portals as the dynamic hub for in-depth knowledge and context about your family’s relationship to CHCA.
All our administrative offices from Admissions, Development, Business Office, Fine Arts, Athletics, and Registrar rely on our SIS to keep track of ongoing operations pertaining to our students and families. Our changeover to Veracross is broad and deep, touching every single aspect of the school.
CHCA and Veracross are partnering to diligently plan and execute this transition as seamless as possible. We will keep communications coming throughout the spring but are excited to introduce this to you now, as the portal you will be using to complete your online re-enrollment. Along with your re-enrollment announcement, we will send you instructions for creating your Veracross Portal account.
Our adoption of Veracross brings us substantial improvement and efficiency for the entire CHCA community, whether prospective family, parent, student, employee, or alum. Veracross is going to be a powerful platform in supporting CHCA’s mission through technology. Stay tuned for more information!
